It may depend on what area you are in but I'm in Yorkshire and had to send my letter to Manchester, they sent me back their 'official' forms to fill in (didn't ask for any more info to what I'd put in my letter, so felt it was a waste of my time). They phoned me within a week of their receiving the 'official' form, I got a letter back agreeing the variation and a form to sign to waive a 14 day appeals period and my new certificate arrived approx 2 weeks later (though it was Xmas). My initial letter was at the end of Nov for a variation required from 5th Jan. So overall it took about a month.

I've had this happen too. It's best to send letters by recorded delivery, that way you can prove Ofsted have received them!

I send my variation request to my regional office in Bristol.
Have to say I have been pretty impressed by reply, normally within a couple of weeks. Had to chase one once - got 'lost' on someone's desk!!
Good luck!!!
