I was wondering that when you ask parents to fill in an "all about me" document for their child when they start with you that you obviously then need to keep that information confidential (so in a locked file??) as per the data protection act but then what happens when OFSTED want to see it? Doesn't that break the data protection act rules or do you just warn parents that OFSTED will require to see information on their child?
Sorry I hope this makes sense!!

All about me is usually the info you gather when a child starts ...yours and their starting points...to move on to planning for his/her individual education
Parents need to give you certain details about themselves...address, phone number, email etc...those are recorded in a contract and both you and parents bound by Confidentiality and Data Protection
Ofsted do not look in your contracts ...families' details...or into personal details...hence the reason contracts showed to Ofsted can be 'empty'...I don't think this is changed?
No locked file is needed ...just a place where they are 'not easily accessible' to children or other parents...when the contract ends file it away in your loft ...or in a box...for a certain period of time
Info on any child is open to Ofsted in terms of 'care and education' only and if the child has a particular need that you meet the need ...Ofsted do not ask to see your contracts and read them in detail

In spite of a lot of the cr4p put about by trainers, DOs and some CMs, there is no requirement for total and absolute confidentiality between CMs and clients/mindees.
Certain statutory bodies (eg. police, Ofsted, Social Services, etc.) have rights which override confidentiality. You may also disclose other information in certain circumstances, eg. to a solicitor or debt collector in the context of a fees dispute. There are all sorts of other circumstantial exceptions. Above all, you have a responsibility to disclose information which might otherwise be considered confidential in the context of safeguarding and child protection.
You need to make this clear in your documents and policies on confidentiality, etc.

Yes Bunyip...there are times when confidentiality has to be put aside ...safeguarding being one or in cases of non payment and some other issues.
In general though details have to remain confidential...I would certainly also ask parents to keep my details confidential
There is an 'Info sharing' document from the govt that explains it all
