Hi all i have a mum who started college sept and college paying money towards childcare they have sent me a letter stating i have to send invoice 10 oct how do i word it, do i need a invoice book etc i know i need mum and child details how many days etc when i claim do i do for 8 separate weeks or all together, i must sound stupid but never had to send invoices i just give parents receipts and get them to sign ncma accounts book thanks debbie :)

Hiya

I always invoice my parents with the breakdown of costs e.g. contracted hours, any additional hours, meal fees. It helps me to know I'm charging the correct fees and hopefully is clear for the parents as well. I just use a word document, so it looks something like this:

Invoice number:
Invoice period: date (ususally 4 weeks)

Contacted hours and cost
Any additional hours and cost
Meals and cost
Total

Payment due: (date)
Account details:........

I always give parents the invoice the week before payment is due. You could get an invoice book if you'd prefer. Just be clear on how many hours you have the child and the fee per hour/day.
