    Default Storage Eyfs

    Were do you store your Eyfs paperwork, contracts, books, ive got that much don't know how to store , ready when ofsted come.

    I have got it down to a fine art!!!

    In a lockable tin Filing Box I have:

    A suspended folder for each child and mine have a colour each!

    In which I have the same colour soft plastic folder with the child's name on with the contract and all the other Info, Permission Forms, Letters confirming holiday dates, my copy of all receipts, printed off email confirmation of Childcare Voucher Payments etc.

    Another soft plastic folder (same colour!) with the printed off Development Sheets for the child which I highlight when I see things and is linked to their Observations as well.

    An A4 Plain Page exercise, the same colour, (40 pages) book with the child's name on for their Learning Journal.

    NCMA Attendance Register

    NCMA Accounts book in a suspended file with receipts in monthly envelopes, any correspondence from Tax or NI, Insurance etc.

    NCMA Accident/Incident and Medication Folder

    A suspended file with any correspondence from Ofsted or my LA

    A suspended file with any correspondence about Training

    Then I have the following A4 Ring Binders. Mine are all white ones with a pocket on the spine and on the front (cheap from Costco or Viking) and I print out matching Tiles and Spines


    1. TRAINING

    I have a training Log which goes back to the year dot. It is a simple Landscape form with the title of the course, the date, when it was or needs to be booked, why I need to do it and what areas of learning it covers.

    I fill it in chronologically except I have a Separate Page just for First Aid and one for Child Protection so I can see instantly when I need to renew.

    I then have all my certificates in plastic wallets, all First Aid, all Child protection and then the others Chronologically.

    2. RISK ASSESSMENT

    Public Liability Insurance Cert (I have a copy on the wall and in parents info folder) and Policy Documents for year.
    Employer's Insurance Cert, same as above.
    My car insurance Cert and Mot and service record.
    Husbands Car Insurance and Mot and service record.
    Household/Buildings Insurance Cert and Policy Documents for year.
    My CRBs, Husbands CRBs and the letters from Ofsted saying my Teenagers are Suitable People to be around children.
    Copy of Home Visits by Fire Brigade
    Evacuation Plan for house
    Where I have First Aid Kits and a record sheet off what is in them and when they are checked.
    Smoke, Heat Sensor and Carbon Monoxide Alarm Checks
    Fire Drill Record
    Record of when Central Heating Boiler and System are checked and serviced.
    Details regarding not using Socket Covers
    Details of current Car Seat Regulations
    Poisonous Plant list and detaild of who to phone
    HPA List for schools and Childcarers
    HPA List of Notifiable Diseases
    List of what I Risk Assess visually every day in my home and garden
    All My RAs for my Home and Garden
    RA for Cars
    RA for outings

    3. PARENT FEEDBACK

    All cards and letters form parents past and present.

    4. PLANNING

    I have 2 folders
    One divided into 12 months where I keep details of different Festivals and days etc that I would follow through the year with basic info and a record of web addresses, templates and I am gradually adding any photos I have. I also mark what areas of learning each thing covers and will gradually amend this for the revised EYFS

    Second a general one with a list of useful websites, shops etc. Templates and lists of activities with notes on what is useful, how it has worked etc. Again I am gradually adding some photos to this of work being done and finished work as a reflection. Again areas of learning are indicated.

    5. PARENT INFO FOLDER

    A bit about me and a few photos of my setting
    Copy of current Reg Cert and Ofsted Report
    Copy of current Public Liability and Employer's Insurance Certs.
    Copy of my First Aid Cert.
    Blank copies of a Contract and all the forms a parent is asked to fill in or sign.
    Copy of all my Policies and Complaints Procedure
    Copy of Permissions and Consents Form
    Copy of HPA info on Infectious Diseases For Schools and Child Carers
    Info on why I don't use Socket Covers
    Copy of Parents Info Leaflet about EYFS
    Copy of All About Me Form

    The parent info folder is for prospective parents to see.

    I don't do the Sef, never have and never will! So the above 5 Folder plus my tin File Box are all I have.

    The Tin Box sits on the side in my kitchen when I am working, it is locked at night and then when I am on holiday like now, it is generally put away upstairs locked. The other files are on a bookshelf in my hall with other cm resources and books.

    The 5 folders, the LJs , Attendance Register and Medication Folder were all I put out for Ofsted.

    They do not need to see any of the Contracts, personal correspondence between you and parents or any of the accounts or payment details so I just took out the LJs and Development Folders and had the locked Tin Box sitting on the side.

    I have been culling mine today Rickysmiths! Will have similar to you - thanks for the list of what goes where

    DS will be 16 in November so another bit to sort

    Trip to Wilkos for new folders on Friday - I will come to you if I have a new piece of paperwork and don't know where to stick it!!!!

    Hey I'm on holiday until 3rs Sept!

    Weather is lovely walked miles today along the Coast path and then went swimming again when we got back to the hotel. Just been out for a curry.
