Default contract to include funded hours

i have had a child over a year, she has now turned three and going on to get her 15 hours free childcare. therefore i need a new contract. however how do i do a contract with the correct amount not including the 15 hours funded by the government, but for only 13 weeks per term as obviously they will pay the 15 hours during the rest of the year. she does more than 15 hours each week. but they want a contract to show the hours she does and the fees to pay.
    hope that makes sense lol

I contract the hours the child attends, which includes the 15 hours.

Then, when I do my invoice for the month I subtract 15 hours per week term time from the total due

I did this once. Never again. I stopped offering the FE. What a headache trying to calculate it all! and for a short-fall in income due to our LA paying so little for FE hours.

I did not change the contract.

It was an invoice change (you are still contracted same hours but the LA is paying part of the bill) and a lot of maths trying to split across the weeks in the year I am open. Might have been easier to just offer the FE hours in term time only and parents pay full in holidays, but I invoice by calendar month so that would be messy too.

I know what you mean , i always said i would never do it, but i have a family that have taken a pay cut and i feel sorry for them so funded hours is ideal . (only cos i have had her such a long time and i know she wouldn't cope in nursery)
thanks for that i just thought it would be a new contract to show the funded hours . this will be the last time i offer it as i have emailed the funding people on numerous occasions and they take over a week to reply !! thank you both for your help

I have just update all my contracts to reflect the funded hours.

For 'contracted hours' I put the full hours, then for daily/weekly fee I put "as per attached schedule". I then attach a sheet with funding details set out week by week. I attach a new sheet each term. Our funding started this week, so I put:

    Week 1 13th April 15 hours funded - FREE. Fee due £x
    Week 2 20th April 15 hours funded - FREE. Fee due £x
    etc
Half term week 25th May No funding Fee due £x
    etc

I include info on how I work out the fee that has to be paid.

    Eg. Contracted hours Mon - Wed 8.30am - 5.30pm

    Hours per week: 27
    15 hours funded
    12 hours @ £4 per hour £48.00
    meals for 3 days @£2.50 £7.50
    Total for funded week £55.50

    Total for non-funded weeks £108.00

It might be worth contacting customer services of the online system. There must be plenty of other people who want their contracts to reflect the funding, so they may already have a way of doing it. If not, they could maybe suggest a way that would work on their system.

I haven't changed my contracts - I just deduct the funding from the invoice parents pay in advance. If for any reason the LA didn't pay me for funding, then I would expect the parents to pay me.
