    Default Anyone have a formula

    Hi there,

    wondering if any can help!

    I currently give 15hrs funding for my 3 yr olds and think I was charging correctly but I wonder how other childminders do it?

    All of mine attend for more than the 15 hours funded each week so I just show on my invoices the total amount of hours less the free funded hours and parents pay the balance of hours.

    My LA won't allow us to take off the funded money so I show the monthly amount less a credit for wraparound care.

    I have a child who comes for 14 hours, his funded hours averaged out over the number of weeks I am open is 11 3/4

    The parent pays for the balance number of hours - I have a spreadsheet that keeps a decreasing total of the number of funded hours she has remaining.

    I am having the same problem at the moment. I'm trying to get my pricing structure sorted for those eligible for early years funding. The problem (I'm sure it is the same all over the country) is that our LA pay £1 less per hour for the funded hours.

    We are trying to work out whether we offer sessions (up to 2 sessions, max 6hours per day) or just take out the total number of free hours out of their monthly total. We are increasing our rates for all children who are eligible for the funding to compensate a little but we will still be losing out financially.

    Does anyone do the session thing like lots of nurseries do? Does it get very complicated?

    I don't think you can just take the total of the funded hours out of their total monthly fee because in doing that they would then be paying the £1 hour top up and you are not allowed to do that.

    Surely the easy calculation is to take the 15 hours off the total number of hours they are with you in the week and charge for the balance of hours.

    I offer the free hours they are entitled to ... then up slightly my 'wrap around' hours - doesnt fully compensate but was the best method I could come up with.....

    I offer funded sessions of 9am-12noon, or 9am-3pm. Anything outside those hours needs to be paid for.

    I do stress to parents that the funding is for upto 15 hours a week and that I am under no obligation to offer the full 15 hours here. One child only comes 2 days a week, so only gets 12 hours funded with me. Another comes one full day & one half day, so will only get 9 hours when he turns 3. Our LA pays considerably less than my hourly rate, so doing set sessions and charging for lunch (it's normally included) are the only ways I can limit my losses.

    your LA will probably have the Local Conditions of Funding...it is their guidance on what they expect you to do when charging parents and showing you are giving the 15 hrs totally free
    I believe this is what they look for when they audit providers to ensure we are not charging for the free hours

    Maybe you could approach your EY finance dept that deals with funding and get a copy if you do not already have it
    In my LA we need to show clearly the 15 hrs are free but...as we know...each LA is different and differs in expectations
    LAs are also accountable to the DfE regarding funding being properly used

    My bill goes something like this

    Week beginning Hours. Funded or pay? Amount
    07.07.2014. 8-3 mon and Tuesday Funded Nil
    3-6 mon and Tuesday. Pay. £20000
    8-9 Wednesday. Funded. Nil
    9-12 Wednesday. Pay. £11000

    14 .07.14. Blah blah as above format




    Total to pay for month £5000000.00
    I keep it clear which bit is free and which bit they pay for.

    It's not posted as it looks on my pad, it's should be spread put table style with headings along the top.

    Thanks so much for this help (and sorry for jumping in on your post OP!). I have decided to offer the sessions 9 - 12 and 9 - 3, and charge a higher rate (and while I'm changing everything, get them all to bring packed lunches!!!).
