Every month one of my sets of parents gives me a written note of extra hours they would like me to do that month, outside of my contracted hours. I then invoice them for the total they owe me and they pay in advance for the whole month.

This month though, the last two Thursdays they have asked me to do they have cancelled on me at the last minute. Thursdays arent actually in their contract, but since they have asked for them in writing,in advance, I have kept those dates clear so that I can look after lit'lun. I have already received payment for the two days.

In this circumstance would you refund their money? If it was a contracted day I would say no, but not sure if its not???

If they give this to you in writing and you plan ahead then they cancel then I say you charge them, :thumbsup:

in a word no i would not they booked it and your contract is the letter they gave you you couldnt take anyone elses children incase they did turn up i wouldnt worry if they dont like it they will stop cancelling

they booked the space, and they chose not to use it. Simple.

Have they asked for a refund?

I wouldn't refund it either. You kept the space available and it wasn't your fault they didn't use it

I agree with everyone else for the same reasons...no refund! If the parent queries just say you turn away other work to accomodate them.

I agree with everyone if they booked new hrs and you mad them available then they should pay..

You made that day available simple as that..

I agree with everyone else they booked the hours and then cancelled tough they have to pay.

perhaps you need to redo their contract to state that any extra hours booked have to be paid for if not used

I would still charge hun as you have kept these hours free for them, its not your fault they cancelled so not fair for you to loose out!

I wouldn't refund because they had booked the place my service was available but they chose not to use it

When they have cancelled before I have given them a "credit", but they have always told me far in advance, so I think this is what they now expect....well...no more Mr Nice Guy!! :thumbsup:

Hi I also agree with everyone else as its short notice then charge if they gave you plenty of notice then the choice is yours. Sharon

i do have on my contracts that if we are not given 24hrs notice than full fee will be charged

No - if it was last minute.

I have a parent who books extra hours on a weekly basis. On th eaccasions where she hasnt needed them I have not charged her if she gives me more than 48 hours notice, anything under that I explain is payable and she is happy with this. As long as they notify me in good time I dont mind so much but a last minute cancellation means that they should have to pay

no im sorry but i would not give a refund or a credit , if i have places booked and they are canceled & the child doesnt come for any reason i still charge as i would not be able to give the place to any one else . also i have this stated in my policies that if a place is booked contracted or not they will still have to pay .i think only once when a child didnt come i did not charge mum as she was going to a funeral , so didnt want to take the money . :)but for any other reason then i wouldnt
